Privacy policy
Last updated 22 October 2026.
This policy explains what personal information Inner West Community Energy collects, why, and what we do with it. We only ask for what we need to help you, and we never sell your information.
Who we are
Inner West Community Energy Inc. (ABN 34 236 517 710) is a not-for-profit incorporated association in NSW and a charity registered with the Australian Charities and Not-for-profits Commission. We’re run mostly by volunteers. In this policy, “we” and “us” means Inner West Community Energy, including the committee members, staff and volunteers who help run it.
What we collect
- When you contact us or ask for help with an upgrade: your name, email address and postcode, what you’re interested in, and anything you tell us. As we help you, we may also ask for your address and phone number, recent power bills, photos of your meter board or home, and quotes you receive from installers.
- When you sign up to our newsletter: your name, email address and suburb, and whether you’re interested in volunteering.
- When you volunteer or offer to host an event: your name, email address and what you tell us about yourself.
- When you donate or become a member: your name, email address, suburb and the amount you pay. Payments are handled by Stripe, so we never see or store your card details.
- When you come to an event: if you register, the details you give the booking service. We may take photos and short videos at events for our website and social media; let a volunteer know if you’d rather not appear.
- When you visit our website: we count visits with Cloudflare Web Analytics, which doesn’t use cookies or identify you, and our forms use a check to keep out spam robots. Our website doesn’t use advertising or tracking cookies.
How we use it
- To help you with your home energy upgrade: understanding what you need, connecting you with a trusted installer, arranging a site visit, reviewing your quote and following up.
- To answer your questions and keep in touch about your enquiry.
- To send our newsletter, if you’ve signed up. Every email has a link to unsubscribe.
- To manage memberships, donations, volunteering and events, and to keep the records an incorporated association and charity has to keep.
- To understand and improve our work, for example by counting how many households we’ve helped. When we report on this, we don’t name you without asking first.
Who we share it with
- The installer we refer you to. To visit your home and prepare a quote, they need your name, contact details, address, bills and photos, so we pass these on to the installer working with you on your upgrade.
- The services that run our tools. We use trusted providers to run our website and forms (Cloudflare), email, documents and spreadsheets (Google Workspace), newsletter (HubSpot), payments (Stripe), event bookings (Humanitix) and customer records. They store and process information for us, and some of them do this outside Australia.
- When the law requires it.
We don’t sell, rent or trade your personal information.
AI tools
We may use artificial intelligence (AI) tools to help with our work, such as organising and summarising information, or helping to prepare advice and replies. This can include information you’ve given us. When we use AI tools with personal information, we use business versions that are set up not to use our information to train their AI models. These tools are run by other companies and may process information outside Australia.
Keeping it safe, and for how long
We keep your information in secure online services, and only the people who need it to help you, or to run Inner West Community Energy, can see it.
We keep your information for as long as it’s useful for helping you and for our records. We don’t currently delete records on a set schedule, but you can ask us to delete your details at any time (see below). Some records, such as payments, we have to keep by law.
Your choices
- You can unsubscribe from our newsletter at any time, from the link at the bottom of every email.
- You can ask to see the information we hold about you, and ask us to correct it or delete it.
- You can ask us not to pass your details to an installer, though we may then not be able to help with a quote.
Questions and complaints
For any question, request or complaint about your privacy, email chair@iwce.org.au. We’ll reply as soon as we can, and within 30 days.
You can find out more about privacy in Australia from the Office of the Australian Information Commissioner.
We may update this policy from time to time. The date at the top shows when it last changed.
